When to use this template
Use this template for legal invoicing — hourly client billing, retainer applications, contingency settlement breakdowns, or expense pass-through. The template handles the legal-specific structures: matter reference and case number, time entries broken down by timekeeper (attorney, paralegal, staff) with rates, expense pass-through with detail, and trust account balance application where applicable. State bar rules require detailed billing for many engagement types.
Legal invoicing tips
Legal billing is one of the most-disputed categories of professional billing — clients scrutinize legal invoices more than almost any other service category. Three habits matter most. First, write descriptive time entries in plain language: 'Drafted memo to client re: contract renewal terms (1.2 hrs)' beats 'Legal research and writing (1.2 hrs)'. Second, break out timekeepers by name (or initials per state bar rules) and rate so the client sees the work distribution and can question specific entries instead of disputing the total. Third, list expenses (filing fees, court costs, expert witnesses) as pass-throughs separately from professional fees with documentation references — never bundle into a 'misc' line.

Frequently asked questions
What level of detail do legal invoices require?
State bar rules vary, but best practice is task-level detail: each time entry should include the date, timekeeper, time spent (in tenths of an hour), and a descriptive narrative of the work performed. 'Drafted memo to client re: contract renewal terms (1.2 hrs)' is better than 'Research (1.2 hrs)'. For court-supervised matters or fee applications, even more detail is required — including specific tasks, page counts, and case citations where applicable.
How do I handle trust account funds on an invoice?
Trust account billing requires careful documentation. Standard structure: invoice the full amount earned, then apply trust account funds as a credit, showing the remaining balance owed (if any) and the new trust account balance. Example: 'Total fees and expenses: $5,000. Less: Application from trust account: ($3,000). Balance due from client: $2,000. Remaining trust account balance: $7,000.' Most state bars require trust account reconciliation on invoices and prohibit using trust funds before they're earned.
