When to use this template

Use this template for SaaS billing scenarios that don't fit your subscription billing system: enterprise contract renewals, custom one-off charges, usage overage true-ups, services and onboarding fees, or migration credits. The template handles subscription line items with billing periods, usage overage breakdown by metric, and proration for mid-cycle changes.

SaaS invoicing tips

Most SaaS billing should run through Stripe Billing, Paddle, Recurly, or Chargebee — automated subscription billing is too complex to handle with one-off invoice templates. Use this template specifically for the cases your subscription system can't handle: enterprise renewals with custom terms, one-time setup or migration fees, custom credits, manual overage true-ups, or non-standard contract structures. For the recurring subscription billing itself, use a dedicated billing platform.

Questions, answered

Frequently asked questions

Should I use this template for monthly subscription billing?

Generally no — automated subscription billing should run through Stripe Billing, Paddle, Recurly, Chargebee, or another dedicated platform. Subscription billing requires automated proration, dunning, payment retry logic, and tax calculation that one-off invoice templates can't provide reliably. Use this template for one-off SaaS billing scenarios (enterprise renewals, setup fees, manual credits, custom contracts) where your subscription system isn't the right tool.

How do I handle usage overage on the invoice?

Show usage overage as separate line items broken down by metric. For an API product: 'API calls (10,000 included): 0', 'API calls (overage above 10,000): 35,420 × $0.0001 = $3.54'. For a seat-based product: 'Pro tier: 10 seats included × $50 = $500', 'Additional seats: 3 × $50 = $150'. The breakdown lets the customer verify overage charges and prevents disputes about what was actually consumed.
