When to use this template

Use this template if you're a UK-registered business charging VAT. HMRC requires specific information on VAT invoices: your VAT registration number, the customer's name and address, a unique invoice number, the date, the type of supply, the rate of VAT, the amount excluding VAT, the amount of VAT, and the gross total. This template includes all those fields by default.

UK VAT invoicing tips

Standard UK VAT rate is 20% as of 2026. Reduced rate (5%) and zero rate (0%) apply to specific goods and services. If you're VAT-registered, you must charge VAT on taxable supplies and issue a VAT invoice within 30 days of the supply date. Under Making Tax Digital (MTD), VAT records and submissions must be kept digitally — your invoicing software should support MTD-compatible export. For B2B sales to other VAT-registered EU customers, the reverse charge mechanism may apply (you don't charge VAT, the customer accounts for it).

What's required on a UK VAT invoice?

HMRC requires: a unique invoice number, your business name and address, your VAT registration number, the date of issue, the time of supply (if different), the customer's name and address, a description of goods/services, the rate of VAT applied, the amount excluding VAT, the amount of VAT charged, and the gross total. For invoices over £250, additional details apply. For less than £250, a simplified VAT invoice is acceptable with reduced fields.

Do I need to be VAT-registered to use this template?

No — but if you're not VAT-registered, you should NOT include a VAT registration number or charge VAT. Use this template's structure but remove the VAT lines. UK businesses must register for VAT if their VAT-taxable turnover exceeds £85,000 in any rolling 12-month period (or expected to exceed in the next 30 days). Below that threshold, registration is voluntary. Most freelancers below the threshold issue non-VAT invoices.
